Job Description
Under the direct supervision of the Plant Leader, this position provides data entry and advanced administrative support for the Quality Department. In addition to typing, filing and scheduling, performs duties such as mining and analyzing data from multiple sources (manual and computer-based data) and producing daily reports on exceptions to standards. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.
Essential Functions
Schedules and organizes complex activities such as meetings, travel, conferences and department activities for Plant Leader and all members of the department. Also handles day-to-day communications, as needed (phone, email, etc.), for Plant Leader and Production department.
Acts as a liaison with other departments and outside agencies, including high-level staff such as presidents, senior vice presidents and directors. Handles confidential and non-routine information and explains office/plant policies when necessary.
Schedules interviews for candidates for open plant positions and arranges travel and lodging as needed.
Assembles data from multiple sources and compares to standards. Data to include confidential and sensitive information for personnel, team, department, and/or organization.
Enters data with accuracy into computer software programs (information databases, spreadsheets).
Provides updates and exception reporting to ensure intra-department alignment.
Understands and utilizes production reporting and timesheet programs to make decisions and follow policies and procedures.
assist with file migrations and audits, and perform administrative tasks as needed
Train and assist employees on records management procedures and policies, which include documentation, retention, retrieval, destruction and disaster recovery
Create new templates
Creates and develops visual presentations for the Plant Leader.
Manage and track company documents
control the retrieval of documents
responsible for managing company documents while also ensuring their accuracy, quality and integrity

Supervisory Responsibility
This position has supervisory responsibilities for the Plant Receptionist.
Work Environment
This job operates in a professional plant office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.
Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00am to 5:00pm.
No travel is expected for this position.
Required Education and Experience
High school diploma
Five years of administrative experience
Computer proficiency Microsoft Office 2010 with strong proficiency required in Excel, Word and PowerPoint
Preferred Experience in eTime Reporting System
