Key Responsibilities

JOB SUMMARY: Provides executive assistant support to the Deputy General Counsel. This includes managing time and expense reporting according to Client policies, as needed, managing contacts, calendar, travel and meeting planning and other routine administrative tasks. Provides occasional administrative support for GSC, Growth Markets, and North America Legal teams. Works closely with Finance to support PO and Invoice management, and monthly reporting for Global Legal Team. Works with transactional teams to support recordkeeping and digital archives of client contracts.

Executive Support:
  • Delivers high quality executive support, including adherence to company policies, guidelines, and processes
  • Works with a significant amount of confidential, highly confidential, and restricted information (e.g. non-public financial data and client contracts) and exhibit discretion and judgement in disseminating this information.
  • Maintains executive's calendar and coordinate all aspects of travel, including assistance with document required for visas and passport needs
  • Acts as point of contact between executive and internal/external clients

Finance Support:
  • Creates and manages PO's for North America and Growth Markets Legal team
  • Submits and tracks invoices, communicates with vendors and finance to reconcile issues
  • Collects and reports monthly accruals to regional finance teams

Legal Assistant Support:
  • Oversees digital Legal inbox, distributes message to appropriate counsel for response
  • Works with transactional teams ((i.e., business development executives, deal management leads, and transactional lawyers) to maintain and assign contract numbers and reviews
  • Maintains records and Outlook archives of North America and Growth Markets client contracts
Other duties as assigned.
  • Ability to multi-task effectively, and with minimal supervision and direction.
  • Ability to interact with all levels of management in a professional manner.
  • Ability to work within a corporate multinational matrix, live and virtually, across time zones.
  • Ability to contribute positively as a member of a team in an intense and fast-paced environment, while meeting high standards of excellence and confidentiality.
  • Excellent communication skills.
  • Strong time management, prioritization and organizational skills.
  • Strong Microsoft Word, Excel, and PowerPoint skills. SharePoint skills a plus.
  • Experience with Microsoft Outlook calendar and email.
  • Experience booking & coordinating complicated travel (e.g., multiple stops, tight schedules, and pricing options)
  • Experience managing budgets, invoices, and vendors.
  • College degree preferred
  • 5+ years of experience in an administrative or operational support role
